Terms and ConditionsEcademi Limited
Effective Date: March 20261. IntroductionWelcome to Ecademi Limited ("Ecademi", "we", "our", "us").These Terms and Conditions ("Terms") apply to all services provided by Ecademi, including school enrichment workshops, CPD-accredited courses, conferences and events, and associated online resources.By engaging with our services or accessing our website (www.ecademi.co), you agree to be bound by these Terms. If you do not agree, you must not use our services.By booking a workshop, enrolling in a course, purchasing event tickets, or otherwise engaging with Ecademi services, you confirm that you have read, understood, and agreed to these Terms and Conditions.Where bookings are made on behalf of a school, organisation, or other institution, the person making the booking confirms that they are authorised to agree to these Terms on behalf of that institution.2. Services ProvidedEcademi offers the following services:School Enrichment Workshops
Curriculum-linked, in-person workshops delivered into schools and educational settings.CPD-Accredited Courses
Online and in-person continuing professional development programmes for educators and professionals.Conferences and Events
In-person and online academic conferences, lectures, and professional development events.Online Resources and Materials
Supporting content, study materials, and digital resources.We reserve the right to update, modify, or discontinue services where necessary, with reasonable notice where possible.3. EligibilityOur services are available to individuals aged 16 and over, and to schools and institutions booking on behalf of students.If you are an individual under 18 accessing services directly, you must have consent from a parent or guardian.Schools and institutions booking enrichment workshops or events on behalf of students confirm by booking that appropriate consent and safeguarding arrangements are in place.By using our services, you confirm that all information you provide is accurate and up to date.4. School Enrichment Workshop BookingsBooking and ConfirmationAll workshop bookings must be made through our official booking process.A booking is confirmed only upon receipt of written confirmation from Ecademi and payment of the booking deposit.Submission of a booking form or payment of a deposit constitutes a binding agreement between the booking institution and Ecademi Limited under these Terms.DepositA non-refundable deposit of £150 is required to secure all workshop bookings. The deposit is deducted from the total workshop fee upon final payment.Payment of the deposit confirms acceptance of these Terms.Cancellation by the School15 or more working days before the workshop date
Balance of fee waived in full.8–14 working days before the workshop date
50% of the remaining balance is due.7 or fewer working days before the workshop date
Full remaining balance is due.In all cases, the £150 deposit is non-refundable.Requests to reschedule made 10 or more working days in advance will be accommodated where possible at no additional charge, and the deposit may be transferred to the new date at Ecademi’s discretion.Cancellation by EcademiIn the unlikely event that Ecademi must cancel a confirmed workshop, we will provide as much notice as possible and offer either:• a full refund including the deposit
• an alternative dateEcademi is not liable for losses arising from cancellation due to circumstances beyond our reasonable control.Travel CostsWhere travel costs apply, these will be communicated at the time of booking and are payable in addition to the workshop fee.Travel costs are non-refundable once incurred.On the DaySchools are responsible for ensuring appropriate facilities, supervision, and safeguarding arrangements are in place for the delivery of workshops.5. CPD CoursesEnrolment and AccessAccess to CPD course materials is granted upon receipt of full payment.Access periods will be specified at the point of enrolment.Completion and CertificationCPD certificates are issued upon successful completion of the required course elements.Ecademi cannot issue certificates for incomplete participation.No refund will be issued where a participant fails to complete a course.Cancellation and RefundsA 14-day cooling-off period applies from the date of purchase, provided you have not accessed more than 10% of the course materials.Ecademi tracks course engagement and progress.Where a participant has accessed more than 10% of course materials, the right to cancel is waived regardless of whether the 14-day period has elapsed.Once the right to cancel is waived, no refund will be issued.If a course is cancelled by Ecademi, a full refund will be issued.6. Conferences and EventsTickets and RegistrationEvent tickets are non-refundable once purchased, except as set out below or where required by law.Cancellation by DelegateDelegates may request a refund up to 30 days before the event date.Refund requests made within 30 days of the event will not be accepted.Specific events may have their own refund policies which will be stated at the point of booking. Event-specific policies take precedence.Cancellation or Rescheduling by EcademiIf Ecademi cancels an event, registered delegates will receive a full refund.If Ecademi reschedules an event, delegates will be offered either:• transfer to the new date
• a full refundEcademi is not responsible for any travel, accommodation, or other costs incurred by delegates.Delegate ConductEcademi reserves the right to remove any delegate whose behaviour is disruptive, offensive, or harmful to others, without refund.7. Fees and PaymentFees for all services will be communicated prior to booking or engagement.Payment must be made in full before services are delivered, unless otherwise agreed in writing.Invoices for school and institutional bookings are payable within 30 days of the invoice date by default.Alternative payment terms must be agreed in writing prior to booking confirmation.Late payment may result in suspension of access to services or materials.8. Intellectual PropertyAll materials produced by Ecademi — including workshop structures, course content, curricula, assessments, presentations, documents, videos, branding, and website content — are the intellectual property of Ecademi Limited.These materials are protected under the Copyright, Designs and Patents Act 1988.You may use these materials only for personal or professional educational purposes.The following are prohibited without written permission:• copying or distributing materials
• redelivering Ecademi workshops
• modifying or adapting materials
• commercial use of Ecademi content
• sharing course accessThis protection includes workshop structures, teaching methodologies, exercises, and delivery formats used in Ecademi programmes.10. Recording and PhotographyWorkshops, courses, conferences, and events may not be recorded, photographed, live-streamed, or reproduced by participants without prior written consent from Ecademi.Ecademi may record or photograph events for documentation or promotional purposes.Schools remain responsible for obtaining any required permissions from students.11. Workshop Content ProtectionEcademi workshops are delivered using proprietary educational frameworks and teaching structures.Schools, teachers, and participants must not reproduce, replicate, distribute, or redeliver any Ecademi workshop content or structure without written permission.Booking a workshop grants permission only for delivery on the agreed date and does not grant rights to reuse materials.12. Use of ServicesYou agree to use Ecademi services lawfully and responsibly.You must not:• provide false information
• reproduce or redistribute content without permission
• disrupt systems or platforms
• engage in unlawful or harmful behaviour13. Limitation of LiabilityEcademi provides educational services but cannot guarantee academic or career outcomes.To the maximum extent permitted by law, Ecademi shall not be liable for indirect or consequential losses.Nothing in these Terms limits liability for death, personal injury, fraud, or any liability that cannot be excluded by law.14. Force MajeureEcademi is not liable for failure to perform obligations where circumstances are beyond our reasonable control.These may include severe weather, illness, travel disruption, government restrictions, venue closures, or technical failures.Where possible, services will be rescheduled.15. ComplaintsComplaints should be submitted to:contact@ecademi.coWe aim to acknowledge complaints within 3 working days and provide a full response within 14 working days.16. Data Protection and PrivacyEcademi processes personal data in accordance with UK GDPR and the Data Protection Act 2018.Ecademi Limited is registered with the Information Commissioner’s Office (ICO).Full details are available at:www.ecademi.co/privacy17. Termination of ServicesEcademi may suspend or terminate access to services if these Terms are breached or services are misused.18. Governing LawThese Terms are governed by the laws of England and Wales.Disputes are subject to the exclusive jurisdiction of the courts of England and Wales.19. Changes to These TermsEcademi may update these Terms periodically.Updated versions will be published on our website with a revised effective date.Continued use of services constitutes acceptance of the updated Terms.20.
